This privacy notice explains which personal data is processed when you visit this website or contact Betreuen365. It has been tailored to the website’s currently intended technical setup and services.

The website is hosted on a server provided by netcup GmbH, Emmy-Noether-Straße 10, 76131 Karlsruhe, Germany. The application and its database are managed through a self-hosted Coolify installation. Coolify is not a separate external recipient because it runs on the same server infrastructure controlled by us.
The hosting provider processes technical data to provide and secure the server infrastructure. Processing is based on Article 6(1)(f) GDPR. Our legitimate interest is the secure, stable and efficient operation of the website. Where the hosting provider processes personal data on our behalf, this is governed by the applicable data processing agreement.
3. Server log data
When you access the website, technically required log data may be processed. This may include the IP address, date and time of access, requested page or file, amount of data transferred, referrer URL, browser type and version, operating system and HTTP status code.
This processing is necessary to deliver the website, diagnose errors and protect the service against misuse and attacks. It is based on Article 6(1)(f) GDPR. Log data is retained only for as long as necessary for these purposes. Longer retention takes place only in connection with a specific security incident or a legal obligation.
4. Contact form and callback requests
If you use the contact form, we process the information you provide to respond to your request. This includes your name, selected service, message and at least one contact method. Depending on your entries, we may also process your preferred contact method, postal code, town or city, preferred start of care, callback date and callback time window.
Processing is carried out to take steps prior to entering into a contract under Article 6(1)(b) GDPR, for general enquiries on the basis of our legitimate interest in responding appropriately under Article 6(1)(f) GDPR and, where processing is based on consent, under Article 6(1)(a) GDPR. Consent may be withdrawn at any time with effect for the future.
Enquiry data is stored in the Betreuen365 database and is generally scheduled for deletion after 90 days. It is retained for longer only if required for an ongoing matter or where statutory retention obligations apply. The version of the privacy notice accepted when the form was submitted is retained for verification purposes.
The form is not intended for diagnoses, medical documents or other health data. Please do not provide such information through the initial contact form.
5. Email communication and Microsoft 365
Form enquiries are forwarded to the Betreuen365 mailbox. If you provide an email address, an automatic confirmation may also be sent. Microsoft 365 is intended to be used for business email communication. The provider for the European Economic Area is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland.
The data processed may include sender and recipient addresses, time, subject, message content and technical delivery information. The legal bases are those described under “Contact form and callback requests”. Microsoft may use subprocessors and process data outside the European Union or European Economic Area using recognised transfer mechanisms.
6. Contact by telephone or email
If you contact us by telephone or email, we process your contact details and the information you provide in order to respond. Processing is based on Article 6(1)(b) GDPR where it relates to entering into or performing a contract. Otherwise it is based on Article 6(1)(f) GDPR and our legitimate interest in responding reliably to enquiries.
The data is deleted when the purpose of the communication no longer applies and there are no statutory retention requirements or other legitimate reasons for continued storage.
7. Communication through WhatsApp Business
The website contains a link to WhatsApp. Merely visiting this website does not establish a connection to WhatsApp. Only when you click the link or contact Betreuen365 through WhatsApp do you leave this website and the WhatsApp terms and privacy information also apply.
Communication uses the WhatsApp Business App provided by WhatsApp Ireland Limited. Your telephone number, profile name, message content and technical connection and metadata are processed. WhatsApp may also transfer data to other Meta group companies and to countries outside the European Union or European Economic Area.
Processing by Betreuen365 is carried out to respond to your request under Article 6(1)(b) GDPR or on the basis of Article 6(1)(f) GDPR. You are not required to use WhatsApp and may contact us by telephone, email or the contact form instead.
8. External links and Google Maps
The contact page contains a standard external link that opens the business address in Google Maps. No Google map is embedded in the website. This function therefore does not transfer data to Google merely by visiting the Betreuen365 website. The external provider’s privacy terms apply only after you click the link.
9. Locally hosted fonts and icons
Fonts and icons used by the website are delivered locally by the Betreuen365 website. Loading a page therefore does not establish a connection to Google Fonts, Font Awesome or comparable font and icon services.
10. Cookies, analytics and advertising
The current version of the website does not integrate analytics, advertising or social media plugins, Google Analytics, Google Ads, Google AdSense, Usercentrics, Google reCAPTCHA or Akismet. It does not currently use optional analytics or marketing cookies.
If technologies requiring consent are added in the future, they will only be activated after appropriate consent has been obtained. This privacy notice and any required consent management will be updated before such technologies are introduced.
11. Recipients and disclosure of data
Personal data is made available only to parties that require it for the purposes described above. These may include the hosting provider, email service provider and, only if you choose this contact method, WhatsApp. Data is otherwise disclosed only where necessary to perform a contract, required by law, covered by your consent or permitted by another legal basis.

Subject to the applicable statutory requirements, you have the following rights in particular:

We take appropriate technical and organisational measures to protect personal data. The published website is transmitted using TLS encryption. Nevertheless, data transmission over the internet cannot be protected against every possible risk.
